Wireless Warehouse Counting With Handhelds

Overview
This process document will cover how to do inventory cycle counts using Savance’s wireless warehouse using the handhelds.
Assumptions
To begin this process, it is assumed that your warehouse has been configured for wireless connectivity, and you have the application installed on our recommended devices. In addition, you have your warehouse locations built, and labeled. Lastly, Wireless Warehouse settings are turned on, and access and security has been configured for any users using the handhelds.
Within the Handheld App -
Will need to change the default display size from default to small to ensure the menus and details properly fit within the screen.
Admin Settings to Consider
Within the desktop application there are a couple of handheld settings you may want to consider/configure before using the handheld.

Guided Item Counting - when selected when a user has been assigned a cycle count, the handheld will guide the user through their assigned counting area in a logical order that makes sense, i.e. locations in order ( A-1, then A-2)

Force Putaway learn barcode prompt to list selection - when selected as you choose to putaway items from a bin, i.e. receiving bin in a list view, again this prompt the user to scan a barcode/upc as you put away items, however you can NOT bypass this prompt and must scan each item. If there is already a barcode/UPC on file you will get prompted to add an alternate.

Additional Settings to consider:

HH Recall Last Template/Printer Selection - When printing an inventory or location labels, if this setting has been selected, your default printer and label templates will automatically be preselected for you.

Using Holding Bins - When selected as part of the receiving, shipping and our counting process the handheld workflow will consider that you are using system bins to place items in or out during these processes which will require you to enter or scan these bins before proceeding.

Creating a Cycle Count
The very first step before you can begin cycle counting, is by creating a new count within the desktop application first.

Go to Inventory > Warehouse Manager > Counting

A list of existing counts will show up. This is where you can create/edit your Counts.

If you would like to create a new Count, click the ‘New’ button on the bottom-left of the screen. This will bring up a new screen, allowing you to specify how you want to create your new Count

Choose the Warehouse and Unique Name for your Count.

Now set your discrepancy threshold. If you would like to disable discrepancies, just check the Disable All Discrepancies checkbox (and they can always be enabled later). If you would like to use discrepancies, you can set them now or later.

Lastly, choose what you will be counting by:

Location - If you count by location, you will get to choose each location this Count will be associated with. This is done in the Assign Locations to a Count page. You can specify entire racks and shelves or even break it down into individual bins.

Manufacturers - If you count by manufacturer, the Count will include only items from the manufacturer you specify. All the locations will be chosen automatically based on where the items are located.

Warehouse Rank - If you count by Warehouse Rank, the Count will include only items from the rank you specify. All the locations will be chosen automatically based on where the items are located.

Inventory Group. - If you count by Inventory Group, the Count will include only items from the group you specify. All the locations will be chosen automatically based on where the items are located.

After you’ve made your selection you will next assign a counter. Highlight over the location, group, manufacturer etc, and right-click to see Assign Scanner and Counter.

Assign both a Scanner and Counter from your list of internal users. In most cases, these names will be the same. If you do however have a different person scanning vs. counting you would choose these users accordingly.

Your Count has now been created and you can now go to your handheld device to retrieve it.
Inventory Counting with Handheld
Now that you have a created an inventory count within the desktop application, that Inventory Count will now appear as an option on the handheld device.

Login into the handheld and from the main screen go to Inventory> Warehouse > Counting
>

The list of available accounts will be displayed for you to choose from. Once you select your count select ‘Next’.

Based on the parameters you selected when you created the count the details will appear. In my example my count is based on locations.

Begin by selecting the first location on the list and select ‘Next’ Each location will display what has been counted vs what is uncounted. You can also use the top filter to view ‘Counted’ inventory.

From here either scan or enter the assigned location label, or just List the items in this location.

Next, you will be asked if you wish to scan items in this location, select ‘Yes’ or go back. In addition, you can also print a new label for this location.

Now on the next screen, you can begin to scan or enter the items that you counting. In addition, you also have the following options on this screen.

Change Location - when selected this option will allow you to change the location you are counting.

Print Label - If you need to print a new Inventory or Location Label you can do this from here.

List Uncounted - When you select this, you will be provided a list of uncounted items in this location that you can choose from one by one.

Zero OnHand - After you scan an inventory label if there is zero on hand, or need to make the item zero on hand due to damage when this is selected you can remove all quantities from this item.

Remove from Location - After you scan an item when this option is selected you can remove the item from the location you are counting and scan it into a new location (Moving locations).

Now as you scan and or go through the list of items you will be presented the following information.

Location of the item, and basic item information such as part number, UPC, and description. In addition, you will see what the system On Hand quantity is currently listed as well as how many times it has been counted. From this screen you can do the following:

Count and enter the amount and select next to move on to the next item

Remove the item from this location

Print a label.

Once you enter your count and select next you will need to confirm your entry.

Now if this item is located in a Staging Bin, that information will also appear. See example below:

Once completed your list of items will appear to choose from. You’ll repeat this process until the count is completed.
